Upload Requirements for Bulk Upload

Preparing your files before uploading helps My Art Registry organise your artworks and link the right files together. Each artwork starts with a Thumbnail. You can also include a matching Print file for a Print artwork or a matching Image file for a Digital artwork.

The file matcher automatically checks and matches your files after every file selection. For the most accurate matching, give related files the same artwork name and use the recommended role suffixes below.

Choose the Files for Each Artwork

Artwork typeRequired fileOptional file
PrintThumbnailPrint file
DigitalThumbnailImage file

A Print file or Image file on its own does not create an artwork. A valid Thumbnail can be uploaded without either optional file.

Approved artists can use both Print and Digital Bulk Upload. Artists who are not yet approved for selling can use Print Bulk Upload with Thumbnail files only.

Check Your File Requirements

File roleSupported formatsSize and dimensions
ThumbnailJPG/JPEGMaximum 5 MB; at least 1000 pixels wide and 1000 pixels high
Print fileMAR-supported Print formats, listed belowMaximum 2 GB; no minimum file size
Image fileJPG/JPEG or PNGMaximum 50 MB; at least 8,294,400 total pixels

Supported Print formats include BMP, CIN, GIF, DICOM, HEIF/HEIC, IFF, JPEG, JPEG2000, EXR, PCX, PSD/PSDC, EPS, PDF, PICT, Pixar, PNG, PBM, Radiance, SVG, Targa, TIFF, and WBMP.

For an Image file, multiply width by height to check the total pixel count. An image measuring 3840 × 2160 pixels meets the minimum, but this aspect ratio is not required. A 10000 × 2000 pixel panoramic image also qualifies.

There is no 5 MB minimum for an Image file. It can be smaller than 5 MB if it meets the format and pixel requirements. Use @image to make its intended role clear.

Place the role suffix immediately before the file extension:

SuffixFile role
@thumb or @thumbnailThumbnail
@printPrint file
@imageImage file

For a Print artwork, use names such as:

  • blue-mountain@thumb.jpg
  • blue-mountain@print.tif

For a Digital artwork, use names such as:

  • summer-light@thumb.jpg
  • summer-light@image.png

Role suffixes are recognised regardless of capitalisation. They identify the intended role, but the file must still meet that role's requirements. For example, an 8 MB file named blue-mountain@thumb.jpg is an invalid Thumbnail.

How Automatic Matching Works

MAR compares the artwork names after removing the extension and recognised role suffix. It ignores differences in capitalisation and normalises spaces, underscores, and hyphens. For example, Flower-Queen@thumb.jpg and flower_queen@print.tif can match.

Meaningful numbers remain part of the name: flower-01 and flower-02 are different artworks. Similar-looking names alone do not produce an automatic match.

Role suffixes are recommended, although MAR can also classify files by their format, size, dimensions, and available companion file. A small JPEG may qualify for more than one role. Explicit suffixes help avoid this ambiguity.

Review Files Before Starting

Check that each Thumbnail has the intended Print file or Image file beside it. Where several valid assignments are possible, MAR requires review rather than choosing for you.

You can drag and drop files into the intended positions. Manual placement takes priority, and the matcher does not automatically undo it. A file that does not meet the destination's requirements remains visible as invalid; reposition, replace, or remove it before starting.

Unmatched Print files and Image files do not prevent upload, but they are excluded when you start. Link them to the correct Thumbnail first if you want to include them.

Keep Within the Bulk Upload Limits

One Bulk Upload task can contain up to 100 artworks and 10 GB of source files, and it must fit within your remaining MAR storage allowance. The account allowance for Temp and Draft artwork storage is 15 GB.

The task size includes the original Thumbnails and their matched Print files or Image files. Unmatched files excluded from upload do not count towards that total.

Only one active or interrupted Bulk Upload is allowed per account. Other file uploads for that account remain unavailable while the task is active.

Allow Your Upload to Complete

MAR may divide the upload into batches according to available browser storage. Batching does not increase the task or account limits. If a single file cannot fit in the available browser storage, MAR will ask you to make more space.

You can continue browsing and editing text or metadata elsewhere inside MAR while the upload runs in the same browser session. Keep MAR open to allow all batches to finish.

Once the task ends, successfully created Temp artworks appear in Temporary Artworks. Review them and convert the artworks you want to keep to Draft before their automatic deletion date, three months after Temp creation.
